HomeGauge allows inspectors to control which documents their customers can access. You can easily manage these viewing permissions from your Inspector Dashboard. This guide will walk you through the process of changing and setting document viewing permissions for your clients.
Checking Document Permissions
- Login to the Inspector Dashboard
- Locate the property
- View Permissions: Within the property's details, you'll find information columns associated with the users who are accessing this document. These columns include "Allow," "Sent," and "Viewed." Here's what each column signifies:
- Allow Column: Displays whether the user has permission to view the document. A checkmark means they have permission, while a question mark indicates they do not.
- Sent Column: Displays whether an email notification was sent to the user. A checkmark means the user was sent an email, while a question mark indicates they have not.
- Viewed Column: Displays whether the user has viewed the document. A checkmark means they have viewed the document, while a question mark or blank indicates they do not.
Changing Viewing Permissions
To grant or modify document viewing permissions, follow these steps:
- Login to your Inspector Dashboard
- Locate a document such as a report or agreement.
- Click the Viewing tab and then click Edit Permissions.
- Check the boxes under View. You can optionally also check the box under Forward to permit the user to forward the document to a third party.
- Click Set Permissions.
- See that there is now a check mark under the Allow column. This means that the customer can now see the document.
To set viewing permissions as a default
To establish default viewing permissions for all future documents, follow these steps:
- Click My Reports > Upload/Email Options on the Inspector Dashboard
- Under Default permissions assigned when a report is uploaded you can specify how you want viewing permission to be set as defaults for all future documents.
- Click Save Upload Document Options when finished
Troubleshooting Missing Reports
If a customer can log in but cannot see a report, it's possible they do not have the necessary viewing permissions. To resolve this issue:
- Locate the report on the Dashboard
- Check their viewing status. If they don't have viewing permissions, set them as instructed above.
- You will not need to resend notifications. Simply have the customer sign back in or refresh their page.
